Data Analysis

PilotDeck can generate a directly usable Excel workbook based on original data, automatically complete data extraction, verification, sorting, summary and exception marking, and retain the basis for verification. This case selects three common scenarios in actual work: attendance statistics, reimbursement audit and asset inventory, to show the complete process from original records to reviewable forms.

1. Attendance statistics

1) Applicable scenarios and preparation materials

Suitable for personnel work that requires monthly summary of attendance, late arrivals and early departures, absence of cards and leave requests. This case uses the"August Attendance Statistics"with"Leave Record for August", the goal is to form an attendance summary of each employee and list the exceptions that need to be checked.

2) Operation method

  1. Put the attendance sheet and leave records in the same workspace, and clearly indicate the statistical month and the range of personnel that need to be checked.
  2. Explain the statistical criteria for working days, half-day leave, weekend overtime, etc., and require that two records of the same employee be linked.
  3. Summarize the attendance due, actual attendance, attendance rate and leave requests; separately provide details for late arrivals, early departures, missing cards, etc.
  4. Open the generated workbook and check the person, date and exception mark; manually review items with unclear specifications or conflicting records.

3) Example instructions

Please read the "August Attendance Statistics" and "August Leave Record" in the workspace to summarize this month's attendance by employee. Cross-check attendance and leave data, and collect statistics on due attendance, actual attendance, attendance rate, late arrivals and early departures, absent cards and leave details; half-day leave is counted as 0.5 days. Please put the summary and the exceptions to be checked into Excel worksheets respectively, and explain the statistical caliber used.

4) Case process and effect

This case shows the personnel summary, exception description and Excel file preview after two data verifications. The generated workbook contains "Attendance Summary" and "Exception Details", which can be checked by employee or exception type.

This case: cross-check attendance and leave records, view summary table and exception details (about 26 seconds)

2. Reimbursement audit

1) Applicable scenarios and preparation materials

Suitable for travel review that contains multiple reimbursement forms and a large number of attachments in one batch. This case reads the"Travel Reimbursement Data_Submitted in August 2026"Folder, materials include reimbursement forms, approval forms, tickets or air tickets, hotel invoices and situation descriptions. The task requires judging whether the outbound journey, return journey and accommodation are mutually consistent, and according to 240 yuan per day Example rules for accounting for travel allowance.

2) Operation method

  1. Provide a complete folder of reimbursement materials, explaining the identification method of each order, the scope of review and the subsidy rules applicable to this batch.
  2. Let PilotDeck match applications, transportation and accommodation tickets one by one to check that dates, locations and people match up.
  3. Distinguish between complete materials, missing tickets but signed approval instructions, and need for key verification, etc., and retain the basis for each judgment.
  4. Open the review workbook, review the abnormal bills, approved days and subsidy amount, and then let the reviewer make the final decision.

3) Example instructions

Please read the materials in the "Travel Reimbursement Data_Submit in August 2026" folder and sort out the business trip time, outbound and return transportation, accommodation invoices and approval instructions one by one. Determine whether the itinerary and tickets are closed loop, mark missing tickets, date conflicts and other matters to be reviewed; calculate the travel subsidy according to the rule of 240 yuan per day for this batch. Please generate an Excel audit table, including a summary of each order, bill details and audit criteria, and retain the basis for each conclusion.

4) Case process and effect

This case shows the review conclusions after collecting multiple materials one by one, as well as the generated Excel workbook. The workbook is divided into three worksheets: "Business trip closed loop and subsidy summary", "accompanying bill details" and "audit criteria description"; abnormal bills and matters to be reviewed can be continued to be traced in the table.

This case: Check travel materials, view individual conclusions and subsidy summary (about 32 seconds)

3. Asset inventory

1) Applicable scenarios and preparation materials

It is suitable for administrative departments to convert monthly inventory records into asset ledgers. The input for this case is"Office Equipment Inventory Record (August)", the goal is to generate an Excel workbook containing asset ledgers, subtotals, pending items, and parameter tables.

2) Operation method

  1. Provide original inventory records, clarifying fields such as asset number, name, category, department, user, location, acquisition date, original value and status.
  2. Uniform rules for explaining date, amount and status; newer information in supplementary notes takes precedence over original records, and missing data is marked as "to be added".
  3. It is required that the ledger supports filtering and freezing of headers, classification and summary statistics by category, department and status, and pending items that need to be followed up are listed in a centralized manner.
  4. Open the workbook to check the number, classification and original value of assets, check the warranty calculation and highlight marks before putting it into daily use.

3) Example instructions

Please make a directly usable Excel workbook based on the "Office Equipment Inventory Record (August)". Establish "Asset Ledger", "Classification Summary", "To-be-Processed Items" and "Parameter Table": The ledger organizes equipment information item by item, unifies the date, amount and status, and supports filtering; the summary table counts the quantity and original value of various assets; the pending table lists equipment with missing information, location to be confirmed, under maintenance and near the expiration of warranty. Please keep the original basis, do not guess at missing information, and maintain statistical results with refreshable formulas or perspectives.

4) Case process and effect

This case demonstrates the process of generating an Excel workbook from inventory records and viewing equipment ledgers, subdivisions, and to-be-processed items in the table. The generated ledger can filter equipment, and status and warranty reminders are marked with eye-catching colors.

This case: Generate equipment ledger and summary summary from inventory records (about 34 seconds)
